About the role:
EPAM Continuum currently seeks a full-time Guest Services Coordinator for our Boston studio. This is a hands-on role requiring the ability to see the big picture as well as the smallest details. The Guest Services Coordinator acts as a concierge to staff, guests, and clients visiting the space- anticipating needs and ensuring the studio maintains a pristine appearance at all times. As we welcome colleagues back to in-person work, this highly visible role is expected to evolve over time to best support the EPAM Continuum community.

The Guest Services Specialist is often the first introduction guests will have with EPAM Continuum, so it is essential that you are a friendly, polished, and professional representation of the studio. What You’ll Do

  • Front of Office Activities (40%):
    • Greet all guests to EPAM Continuum; manage guest sign-in and NDA process
    • Route all incoming calls, including facilitating inbound sales inquiries
    • Coordinate client/guest/employee needs, including: travel, shipping, etc
    • Maintain the lobby, conference rooms and all common areas with exceptionally high level of care
    • Collaborate with the Senior Guest Services Coordinator as needed to ensure premium experience for all guests and staff
  • Studio Operations (40%):
    • Collaborate with Associate Facilities Manager to determine, create, and implement processes to improve studio experience
    • Manage conference room requests and work with the Senior Guest Services Specialist and meeting organizers to ensure needs are met in a timely and professional manner (i.e. meal ordering, tech requirements, etc.)
    • Oversee organization of the mail and supply rooms- maintain necessary supplies, process new orders, and look for ways to reduce cost while support office needs
    • As needed, process expense reports
  • Onboarding (20%):
    • In collaboration with HR, coordinate and schedule company and practice specific onboarding sessions for new hires
    • Collaborate with HR as needed to improve orientation and onboarding experience
    • Lead new employee studio tours to welcome new colleagues into the space, and help them acclimate

Requirements

  • 1-2 years of experience working as an executive or administrative assistant
  • Bachelor’s degree preferred
  • Excellent problem solving, communication (written and verbal), and organizational skills
  • Solid proficiency in MS Office suite, and adept at quickly learning new software
  • Ability to perform basic computer troubleshooting is highly desirable
